• Office Manager (Bookkeeping + Shipping & Receiving)

    About the role

    HELMUT LLC is looking for an organized, dependable Office Manager to keep our day-to-day

    operations running smoothly. This person will handle core office administration, bookkeeping

    support, and oversee shipping and receiving.

    Key responsibilities

    • Manage basic bookkeeping tasks (invoicing, bills, purchase orders, data entry, filing, and

    record keeping)

    • Handle shipping and receiving (create labels, schedule pickups, track shipments, verify

    deliveries)

    • Receive and check incoming parts/materials against packing slips and purchase orders

    • Maintain organized records for shipments, returns, and vendor documents

    • Keep office supplies and operational materials stocked and organized

    • Answer phones/emails, coordinate schedules, and support leadership/team as needed

    Qualifications

    • Prior experience in office management or administrative operations

    • Comfort with basic bookkeeping and accurate data entry

    • Strong attention to detail and follow-through

    • Ability to prioritize tasks and stay organized in a busy environment

    • Proficiency with common software tools (email, spreadsheets, basic accounting/invoicing

    tools)

    • Professional communication skills

    Preferred

    • Experience with inventory, purchasing, or manufacturing/production environments

    • Familiarity with QuickBooks (or similar)
